New Media Manitoba (NMM) is currently seeking applicants to manage customer service, administrative, scheduling and facility management activities for our growing organization.  The Studio Operations Manager will be a detailed-oriented and highly organized individual, who is passionate about creating a warm and welcoming environment for clients, students, and developing industry professionals.  They must enjoy connecting with people and be an effective communicator. They also should be able to collaborate with a team of specialists and instructors to ensure successful outcomes for educational projects.  Help New Media Manitoba (NMM) build new worlds and train the workforce of tomorrow!  


Responsibilities

  • Nurturing client, funder and sponsor relationships, providing client support, including providing general information about programs and fulfilling request
  • Coordination of day-to-day operating activities and scheduling of our facility’ spaces, including facility maintenance
  • Providing administrative support for team members, including instructors
  • Onboarding of new employees
  • Coordinating team meetings and events
  • Serving as reception, welcoming/signing-in guests and directing them as required
  • Providing digital marketing support, including preparing content, posting and monitoring
  • Maintaining operational efficiency by recommending and establishing best policies, standards and procedures for StudioLab xR, and leading documentation and implementation
  • Managing projects by creating assignments, tracking progress and resolving issues
  • Assisting with identification of funding opportunities, and supporting the preparation of applications and cases for support
  • Responding to requests for support during classroom sessions
  • Supporting preparation of budgets and monitor costs
  • Tracking and recording KPIs and completing forms and reports
  • Organizing sessions, events and activities hosted in the facility
  • Receiving, preparing and distributing correspondence and internal communications
  • Purchasing and distribution of general office and classroom supplies and maintaining office equipment
  • Maintaining asset and general supplies inventory lists
  • Reconciling credit card purchases and printing/reviewing invoices and receipts
  • Performing other duties as assigned

Qualifications

  • Minimum 5 years of relevant administrative or office management experience, ideally working in the education/training sector
  • Prior experience working with students or industry professionals in an academic or recreational setting
  • Strong customer, member and student services skills required
  • Experience with proper office procedures including electronic filing, answering the telephone professionally, photocopying, greeting all visitors cordially and handling information with confidentiality
  • Experience developing schedules, check-lists, processes, policies, standards and procedures
  • Strong attention to detail and exceptional organizational and time management abilities
  • Adept at balancing and prioritizing concurrent tasks and projects
  • Ability to work independently and as part of a team
  • Proficient working knowledge of word processing and spreadsheet software, social media platforms, and other software applications that facilitate project and organizational administration
  • Good verbal and written communications skills with the ability to articulate effectively with diverse groups
  • First aid experience desirable
